Overview

This page serves to provide information, updates, and resources to help faculty and staff prepare for upcoming department relocations. As part of the University's Space Optimization Initiative, this site will be updated throughout the project with move schedules, preparation guidance, frequently asked questions, and important resources.

Why is my department moving?

Departments are being relocated as part of the University's Space Optimization Initiative. The initiative is designed to improve collaboration, better utilize campus facilities, support modern workplace needs, reduce deferred maintenance costs, and position departments closer to the resources they use most frequently.

Before Your Move

See the below topics to explore how to prepare for a move.

Packing Guidance
  • Pack the contents of your existing work area: desk(s), bookcases/shelves, credenzas, closets, etc. 
  • Large items should have a label placed directly on them (i.e. shredders, etc.)
    • Do not forget to label your trash and recycle bins 
  • Small items should be placed in a labeled box
    • Remember to use packing materials (i.e. packing paper) if necessary 
    • Very small items like paper clips, loose pens/pencils should be put into envelopes, baggies or smaller boxes prior to being placed into a moving box 
  • Any items which are small enough to be moved in a standard moving box should be packed. Boxes that are large enough (about the size of a copy paper box) do not need to be repacked – simply apply a moving label directly to the box 
Labeling
  • Labels should have your name and new room number on them
    • Identify Building; Floor (if appropriate); Room #; Your Name
    • If there is more than one box, add to label for example:
      • 1 of 3, 2 of 3, 3 of 3 (for three boxes, etc.)
  • Place label on the SIDE of boxes
  • Place label on any furniture that is moving (as needed)
  • Place label on your chair (NOTE: put a piece of tape around the label to keep it from falling off)
  • Anything without a label will NOT be moved 
Fragile / Personal Items
  • Please take home all personal items and/or move them yourself including laptops 
  • Movers will not be held responsible for personal items or valuables during the move 
Equipment Handling
  • Please do NOT disconnect any of your computer equipment -your IT support team will take care of this 
  • Fill out labels for all of your computer accessories (i.e. keyboard, mouse, docking station, monitors, etc.). Your IT support team will pack all IT equipment 
  • Movers will move to a new location 
  • Your IT support team will return and reconnect at new location 
Workspace & Building Access
  • Please leave all storage keys either in the lock or in the top drawer 
  • Please turn in your office key (if appropriate) to FD&O Work Control desk 
  • If you need to request keys/ access for your new space, please do so .
Move Day Expectations
  • Be packed by 3:00pm (day before the move).
  • Move will start at 9:00am
  • Move Team will need access to your desk; we will not be able to accommodate you working at your desk while we start the relocation

Move Champions

See information below to understand what a move champion is and how they are helping your department move. If you are the Move Champion for your department, you should have received an email on next steps.

What is a Move Champion?

A Move Champion is a designated representative for your department who serves as the primary point of contact throughout the relocation process. They work closely with the Space Optimization team, Facilities Development & Operations (FD&O), and Information Technology (IT) to communicate updates, coordinate planning activities, answer questions, and help ensure your department is prepared for a successful move.

What does a Move Champion do?

Your Move Champion will:

  • Communicate important updates and key dates throughout the move process.
  • Coordinate preparation activities including packing, labeling, and department readiness.
  • Serve as the primary point of contact for department questions and concerns.
  • Work directly with FD&O and IT to communicate department-specific needs and help resolve issues.
  • Share resources, checklists, and guidance to help ensure a smooth transition.

By working through a single department representative, communication is streamlined and departments receive consistent information throughout the relocation process.

Submit a Maintenance Request

Submit your maintenance request if needed for your new space .

Customer Iniated Move Guidelines
  • Work order request should include, but not limited to:
    • Requested move date - at least 4 weeks from date of submission
    • Existing location and new location
    • Quantity of people to be moved
    • Quantity of boxes and labels 
    • Identify if there is any furniture that will be moved - is it seismically anchored? Or free-standing?
    • Move date verified and confirmed
  • Depending on the size and scope of the move, Move Coordinator will assist with move planning and implementation
  • If any additional work (i.e. cleaning, painting, etc.) is needed, an additional FD&O work order needs to be submitted by Department Move Champion
  • Submit IT Help ticket for assistance with the move
    • 2 weeks prior to the requested move date
Project Moves (Small / Large)
  • Work order request should include, but not limited to:
    • Requested move date - at least 8 weeks from date of submission
    • Identify Move Champion (primary contact throughout the move)
    • Existing location and new locations identified
  • Move Coordinator and 91ÁÔÆæ IT will set up initial meeting with Move Champion to determine the scope of move/relocation 
    • Move spreadsheet will be explained and Move Champion will start filling it out
  • Move coordinator will engage with Move Vendor to set up a time to walk the locations and put together a cost estimate. 
  • Move date verified and confirmed
  • Department approval of Move Vendor estimate
    • Boxes and labels will be delivered to a designated location
  • If any additional work (i.e. cleaning, painting, etc.) is needed, an additional FD&O work order needs to be submitted by Move Champion
  • Move coordinator to set up a town hall meeting with the Department, as needed,  to answer questions
  • Move commences
    • Move Champion to gather information on issues
      • Move team to address move issues as soon as possible
  • Post move activities
    • Walk with Move Champion 
      • Assess any outstanding move issues
    • Arrange for box pick up within 2 weeks of move
